Terms of Service

1. Agreement
These terms govern your use of Ledger Pilot (ledgerpilot.com.au), operated under ABN 54 299 326 744 (“we”, “us”). By creating an account or using the service you agree to these terms. If you do not agree, do not use the service.
2. The service
Ledger Pilot converts PDF bank statements into Excel, CSV, Xero, MYOB, and QuickBooks-compatible files. The service is provided on a subscription basis with a free tier and paid plans.
3. Accounts
You must provide accurate information, keep your login secure, and are responsible for activity under your account. You must be at least 18 and authorised to upload any statement you submit.
4. Accuracy — important
Extraction is automated and may contain errors, omissions, or misclassifications. You must review and verify the output before relying on it for bookkeeping, BAS, tax, or any other purpose. Ledger Pilot is a data-conversion tool and does not provide financial, accounting, or tax advice.
5. Intellectual property & your data
We (and our licensors) own all intellectual property rights in the Ledger Pilot service, software, and website. We grant you a limited, non-exclusive, non-transferable right to use the service under these terms.
You retain all rights in the statements you upload and the files we generate for you (“your content”). You grant us a limited licence to process your content solely to provide the service to you — to extract transactions and generate your output files — and for no other purpose. We do not sell your content or use the contents of your statements for anything other than delivering your conversion. See our Privacy Policy for how we handle personal information.
6. Billing & cancellation
- Paid plans bill monthly in advance in Australian dollars via Stripe and renew automatically until cancelled. Prices are, where applicable, inclusive of GST.
- You can cancel anytime from your dashboard (Manage billing). Access continues until the end of the current billing period.
- We may change plan pricing or features. We will give you reasonable notice before any price increase takes effect, and you may cancel before then.
- Except where required by law, fees already paid are non-refundable. See “Your consumer rights” below.
7. Acceptable use
Do not use the service unlawfully, upload statements you are not authorised to process, attempt to disrupt or reverse-engineer the service, or resell it without our written consent. You are responsible for ensuring you have the right to upload and process each statement you submit.
8. Your responsibilities
You are responsible for your use of the service and for any content you upload. To the extent permitted by law, you agree to reimburse us for any loss, liability, or third-party claim arising from your breach of these terms or your unlawful or unauthorised use of the service.
9. Service availability & changes
We aim to keep the service available but do not guarantee uninterrupted or error-free operation, and the service may be unavailable during maintenance or due to factors outside our control. We may modify, suspend, or discontinue features from time to time, and will give reasonable notice of changes that materially reduce the service where practicable.
10. Disclaimer of warranties
To the maximum extent permitted by law, the service is provided “as is” without warranties of any kind, including as to accuracy, availability, or fitness for a particular purpose.
11. Limitation of liability
To the maximum extent permitted by law, our total liability arising from the service is limited to the fees you paid in the 3 months before the claim. We are not liable for indirect or consequential loss, or for loss arising from your reliance on output you have not verified.
12. Your consumer rights
Nothing in these terms excludes, restricts, or modifies any consumer guarantee, right, or remedy under the Australian Consumer Law that cannot lawfully be excluded. Where our liability for breach of such a guarantee can be limited, it is limited to re-supplying the service or paying the cost of re-supply.
13. Privacy
We handle personal information in accordance with our Privacy Policy and the Australian Privacy Act 1988. By using the service you acknowledge that policy.
14. Termination
You may stop using the service at any time. We may suspend or terminate accounts that breach these terms. On termination your right to use the service ends; provisions that by their nature should survive (including intellectual property, disclaimers, limitation of liability, and your consumer rights) continue to apply.
15. Changes to these terms
We may update these terms from time to time. The “Last updated” date above reflects the current version. For material changes we will notify you by email or in-app. Continuing to use the service after changes take effect means you accept the updated terms.
16. Governing law
These terms are governed by the laws of New South Wales, Australia, and you submit to the courts of that jurisdiction.
17. General
If any provision of these terms is found unenforceable, the remaining provisions continue in force. These terms are the entire agreement between you and us about the service. You may not assign your rights without our consent; we may assign ours to a successor or acquirer of the business. Our failure to enforce a provision is not a waiver of it.
